Executive Assistant to the CEOLocation: Remote (South Africa-based candidates preferred)
Compensation: USD $1,700–$2,000/month

Schedule: Full-time, 40 hours/week with hours from 8:00 AM–4:00 PM CST (current 3PM - 1AM SAST)About the Role:
We’re hiring a sharp, proactive Executive Assistant to provide direct support to the CEO of a fast-growing U.S.-based financial services firm focused on real estate lending. This is not a visionary role — it’s an execution role. You’ll be the operational backbone, ensuring that repeatable tasks, scheduling, and internal follow-through are handled smoothly so leadership can stay focused on growth, capital, and market expansion.This is an ideal opportunity for someone who thrives on structure, takes initiative, and operates with a high degree of ownership and discretion.Key Responsibilities:Calendar & Communication Management
  • Own the CEO’s calendar (investor calls, internal meetings, interviews, etc.)
  • Coordinate meetings, send Zoom links, agendas, and follow-ups
  • Manage email overflow, including LinkedIn and Facebook messages
  • Handle thank-you notes and professional follow-ups with clients and vendors
Operations & Admin Support
  • Track KPIs and prep reports for weekly exec meetings
  • Support loan request workflows and document collection
  • Maintain internal tools and systems: Asana, Dotloop, Podio, Google Drive
  • Assist with light travel booking, vendor coordination, and supply orders
  • Build and refine recurring processes and SOPs
Repetitive Task Execution
  • Organize incoming documents and folders
  • Rename and store files consistently
  • Populate systems like Podio and checklists
  • Keep projects and loan files updated with clear status communication
  • Help prevent follow-ups and tasks from falling through the cracks
Strategic Support & Project Assistance
  • Conduct research and compile supporting data for decision-making
  • Draft correspondence, internal documentation, and project summaries
  • Prepare slides, reports, and short-term plans for various initiatives
What We’re Looking For:
  • 2–5 years’ experience in a high-level EA, ops, or admin role
  • Strong attention to detail and ability to operate independently
  • High discretion and ability to manage sensitive information
  • Tech-savvy and fast to learn new tools and platforms
  • Excellent written and verbal communication in English
  • Highly organized, thick-skinned, and comfortable pushing back with well-considered suggestions
  • Self-directed and naturally proactive — you take ownership, not just instructions
