Purpose of the jobThe Executive Personal Assistant shall be responsible for supporting the Managing Director by performing administration duties and managing the Managing Directors diary. This shall include managing schedules, coordinating meetings, handling travel arrangements, and acting as a point of contact for internal and external stakeholders.Key Responsibilities include but not limited to the following:
  • Prepare documentation, manage correspondence, compile reports, and take accurate meeting minutes.
  • Transcribing and proofreading documents.
  • Coordinate logistics for meetings which shall include the management of the Managing Directors calendar and diary commitments by scheduling or re-scheduling appointments, arranging venues and logistics and tracking attendance.
  • Receives, refers, or finalises telephonic enquiries on behalf of line manager.
  • Manage all travel arrangements and arranging events, ensures all aspects of travel management are handled effectively and in keeping with budgetary and policy requirements.
  • Prepare and organize meetings, including agendas and materials.
  • Pre-empt and act on the needs of Managing Director to increase productivity.
  • Handle confidential communications, emails, and follow-ups with precision and professionalism.
  • Prepare presentations, reports, and briefing documents.
  • Additional ad hoc duties may be assigned.

Minimum Qualifications, Experience, and Knowledge:
  • Grade 12 (Matric)
  • National Diploma (NQF level 6)/ bachelors degree in related field (NQF Level 7)
  • Post-Graduate degree (advantageous)
  • Minimum of 5 years experience as an Executive PA
  • Maturity and professionalism to handle a variety of situations with discretion and tact
  • Skilled in organising meetings and taking as well as distributing accurate minutes.
  • Thrives under pressure and can adapt to changing priorities.
