Sourcing and Procurement:
  • Identify potential suppliers and vendors through research and networking.
  • Obtain and compare price quotations, terms, and quality of products/services.
  • Negotiate contracts, terms, and pricing to secure favourable agreements.
  • Place purchase orders and ensure timely delivery of goods and services.
Supplier Management:
  • Develop and maintain strong relationships with suppliers and vendors.
  • Evaluate supplier performance, quality, and reliability.
  • Resolve issues and disputes with vendors regarding delivery, quality, or pricing.
  • Continuously assess market conditions and supplier capabilities to identify opportunities for improvement.
Inventory Management:
  • Monitor inventory levels and anticipate demand to prevent stockouts or overstock situations.
  • Collaborate with inventory control and warehouse teams to optimize stock levels.
  • Implement inventory management strategies to minimize costs and maximize efficiency.
Cost Analysis and Budgeting:
  • Conduct cost analysis and budget forecasting in conjunction with Top Management to support strategic purchasing decisions.
  • Identify opportunities for cost reduction and process improvement.
  • Monitor and control expenditures to ensure adherence to budgetary constraints.
Compliance and Documentation:
  • Ensure compliance with company policies, regulations, and industry standards.
  • Maintain accurate records of purchases, contracts, and supplier agreements.
  • Stay informed about relevant laws and regulations governing procurement activities.
Imports
  • Coordinate import activities, ensuring compliance with customs regulations, tariffs, and trade laws.
  • Obtain necessary permits, licenses, and documentation for international shipments.
  • Calculate and manage import/export duties, taxes, and fees to minimize costs and ensure regulatory compliance.
  • Stay informed about changes in import/export regulations and tariffs that may impact procurement decisions.
Receiving and Inspection:
  • Oversee the receiving process to ensure accurate and timely receipt of goods.
  • Inspect incoming shipments for quality, quantity, and compliance with purchase orders.
  • Document and report any discrepancies or damages to suppliers and internal stakeholders.
  • Coordinate with suppliers and carriers to resolve issues related to receiving, such as missing or damaged items.
Staff Management
  • Managing staff members daily to ensure stock controls and warehouse is running smoothly.
  • Managing day to day workplace discipline within the workplace.
  • Training of employees on relevant SOPs.
