- Administrative Support: Manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements. Ensure all correspondence and relevant materials are produced in a timely and accurate manner.
- Communication Management: Act as the first point of contact for the CEO, handling emails, calls, and postal mail. Filter information to the CEO as appropriate, ensuring they receive necessary communications and are prepared for meetings.
- Document Preparation and Management: Prepare, edit, and proofread documents, reports, and presentations for internal and external use. Maintain a systematic filing system to ensure easy access to critical information.
- Meeting and Event Coordination: Organize and coordinate executive meetings, including agendas, logistics, and follow-up actions. Assist in the planning and execution of corporate events and conferences.
- Project Support: Take on specific projects at the CEO's request, providing research, coordination, and execution support as needed.
- Personal Assistance: Where necessary, assist with personal tasks to ensure the CEO's personal commitments are managed alongside their professional responsibilities.
- Exceptional Organizational Skills: Ability to manage multiple tasks and projects with high precision and attention to detail.
- Strong Communication Skills: Excellent written and verbal communication abilities, with the skill to interact effectively with all levels of staff and external contacts.
- Discretion and Confidentiality: Must have a proven track record of handling confidential information with the utmost discretion.
- Adaptability: Capable of adjusting to new challenges and shifting priorities, maintaining a calm and professional demeanor under pressure.
- Problem-Solving Abilities: A proactive approach to problem-solving, including anticipating issues before they arise and proposing effective solutions.
- Tech-Savvy: Proficient in Microsoft Office Suite, Google Workspace, and capable of quickly adapting to new software and systems.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: At least 5 years of experience in an executive support role, preferably within a fast-paced, high-growth environment.
- References: Must be able to provide professional references that attest to the individual's work ethic, skills, and experience.
