Executive Assistant to Executive DirectorRoedean School (SA) is an Independent School for Girls situated in Parktown, Johannesburg, seeks to recruit a Executive Assistant to Executive Director with effect 1st October 2025 (negotiable)Job Overview
Reporting directly to the Executive Director, the Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the ED. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.The Executive Assistant must be proactive and enjoy working within a mission-driven and community oriented environment. The ideal individual will have the ABILITY to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.The successful incumbent will be responsible for the following duties:Executive support:
  • Completes a broad variety of administrative tasks for the Executive Director including:
  • managing an extremely active calendar of appointments;
  • completing expense submissions;
  • composing and preparing correspondence that is sometimes confidential;
  • arranging complex and detailed travel plans and itineraries;
  • Drafting agendas; and compiling documents for board and trustee governance meetings;
  • Communicates directly, and on behalf of the Executive Director, with Board members, parents, donors, alumni representatives, PTA, vendor / contractor staff, and key internal and external stakeholders;
  • Provides a bridge for smooth communication between the Executive Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with staff;
  • Works closely and effectively with the Executive Director to keep her well informed of upcoming commitments and responsibilities, following up appropriately;
  • Proactively builds and maintains internal and external relationships crucial tothe effective functioning of the office of the Executive Director;
  • Successfully completes critical deliverables with a hands-on approach; including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Director ability to effectively lead the School;
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on deliverables to successful completion, often with deadline pressures.
Board support and liaison
  • Ensure compliance with applicable statutory and regulatory requirements that support appropriate board and trust governance;
  • Maintains discretion and confidentiality in relationships with all board members;
  • As Board Secretary, works effectively with Board members to set up all applicable Board and Board Subcommittee meetings;
  • Ensures compliance with CIPC requirements for Board;
Skills / Attributes / Competencies:
  • Good interpersonal skills and the ability to interact at an executive level;
  • The ability to work independently at all times and to prioritise work;
  • Confidence to take charge of difficult situations, work under pressure and meet deadlines;
  • A high level of energy, integrity and confidentiality;
  • Flexibility to work outside of normal office hours;
  • Be able to understand, identify with and contribute to the Christian Ethos and values of the school;
Required Qualifications and Experience:
  • Minimum of 5 years' experience in a similar position reporting to an Executive;
  • An excellent command of English (both verbal and written communication);
  • Organisational / planning skills with meticulous attention to detail and accuracy;
  • Advanced diary management and minute taking skills;
  • Advanced computer literacy skills in the full Microsoft Office Suite; and
  • A degree in Business Administration will be an advantage.
