Requirements:
  • Relevant certificate or diploma in Business Administration, Office Management, or similar.
  • 1+ years of administrative experience, ideally in a support, billing, or coordination role.
  • Strong computer literacy, including proficiency in Microsoft Office (especially Excel, Outlook, and Word)
  • Strong attention to detail and ability to manage time effectively.
  • Matric (Grade 12) or equivalent.
  • Professionalism and discretion when handling confidential information.
  • Ability to work independently and take initiative in a support role.
Advantageous:
  • Exposure to Microsoft billing/licensing or working with Microsoft CSP, Volume Licensing, or Partner Centre.
  • Experience using CRM systems (e.g., Dynamics, Salesforce).
  • Experience handling vendor communication or shared mailboxes.
  • Administrative support experience in an IT or tech-related environment.
Key Responsibilities:General Administrative Support
  • Accurate data entry into internal systems and spreadsheets.
  • Manage shared mailboxes and handle incoming/outgoing correspondence
  • Schedule appointments, meetings, and internal events.
  • Assist in event promotion via email marketing and social media.
  • Triage and escalate support requests.
  • Prepare and process sales quotations.
Communication & Coordination
  • Act as a key contact point between teams.
  • Respond to client/vendor queries via phone and email.
  • Coordinate with vendors for licensing, support, or warranty issues.
  • Escalate unresolved technical issues when required.
File & Record Management
  • Prepare reports, presentations, and documents.
  • Maintain organized electronic and physical filing systems.
  • Manage internal databases with up-to-date information.
  • Create weekly, monthly, or quarterly reports.
Financial and Budgeting Assistance
  • Assist with invoice processing and expense reporting.
Project Support
  • Help coordinate project logistics and timelines.
  • Track resources and communicate updates to stakeholders.
  • Support team collaboration and task tracking.
