Job Purpose:The Tender Administrator is responsible for managing and coordinating the tendering process for projects, ensuring that all submissions are accurate, timely, and compliant with client requirements. This role supports the tender team in the preparation, submission, and tracking of tender documents, while maintaining strong communication with internal stakeholders and clients.Key Responsibilities:
  • Coordinate the end-to-end tender process, including pre-qualification questionnaires (PQQs), expressions of interest (EOIs), and full tender submissions.
  • Review tender documentation and extract key information for bid preparation.
  • Create and maintain a tender schedule, ensuring deadlines are met.
  • Liaise with internal departments (e.g., Legal, Finance, Operations) to gather necessary information for tender submissions.
  • Format and compile tender documents to meet client requirements.
  • Manage tender portals and upload documents as required.
  • Maintain records of tender submissions and outcomes.
  • Support post-tender activities such as clarifications, negotiations, and contract handovers.
  • Continuously improve tender processes and maintain templates and documentation libraries.
Qualifications:
  • A degree or diploma in Business Administration, Procurement, or a related field (desirable)
Experience:
  • Proven experience in a similar role within procurement, bids, or contract administration.
  • Experience working with tender portals and managing formal submission processes.
  • Familiarity with public and private sector procurement procedures.
