- To perform and assist in all aspects of the recruitment and selection process.
- After confirming the vacancy with the HR Manager advertise the vacancy internally and externally.
- Conduct interviews on successful candidates, shortlist the top candidates and arrange panel interviews.
- Inform all unsuccessful applicants of the rejection of their applications.
- Schedule appointments for polygraph testing as well as any additional tests.
- Ensure PSIRA checks, criminal checks and matric checks are completed before appointment.
- Ensure that reference checks are done on each employee after their consent is received.
- Collect all the required documentation of appointed candidate and send it to the relevant HR personnel to compile the offer of employment.
- Create, revise and update interview questionnaires and use them in the interview process.
- Ensure the employee submits all the relevant documentation, update it on the monthly report and create their personnel files.
- Inform the relevant HR personnel member of the outstanding information as well as the branches by means of the branch monthly reports.
- Conduct and co-ordinate the induction process of the employees first day. This includes the following:
- Company video
- Contract discussion
- Introduction to all staff
- Lunch
- HR Induction
- SHEQ Induction
- IT Induction
- Finalisation of outstanding documentation
- ID Photo
- Departmental induction (when applicable)
- Psira, provident fund and medical aid discussions
- Communication style training
- Inform all employees when a new employee starts with the company at least 3 days before the employee starts.
- Send an email to the new employee regarding what they can expect of their first day at least 3 days before their start date.
- Update the induction process as and when required and ensure that the booklet and presentation is updated.
- Ensure the new employee’s workstation is set up the day before in conjunction with the relevant manager. This includes Desk, chair, computer that has been set up and stationery.
- Ensure that all CV’s and certificates of employees needed for a tender are on the correct template, according to company standards and handed in on time.
- Arrange medical examinations only for employees required by clients. Ensure medicals are arranged before expiry of current medicals. File accordingly.
- Ensure payment of ICAS within one day of receiving invoice.
- Arrange ICAS sessions and assist with referrals as and when required.
- Raise awareness of ICAS with applicable personnel.
- Create and update organograms as and when required. Ensure it is updated on a yearly basis.
- Perform any reasonable request in order to support the Human Resources department to reach their objectives.
- Ensure that no confidential and personal information of any employee is accessible by unauthorized individuals. This may include archiving employee files as soon as possible / according to company policies.
- Ensure that all policies, procedures and documents relevant to your area of responsibility are up to date.
- Stand in at reception when receptionist is not available.
- Staff member must always adhere to the company's Quality Manual, Policies and Procedures of the company.
- Staff member / Department must ensure that their objectives are met and discussed continually giving the ISO department updates on their progress.
- Measurement, analysis, and improvement of the QMS through activities such as updating policies, procedures and forms relating to their department / branch, internal audits and corrective and preventive action.
