Position: Operational & Executive Admin AssistantWorking Hours: 9:00am to 6:00pm Central European TimeLocation: Remote (South Africa preferred) Compensation: $1800 - 2500 per month depending on experienceCore ResponsibilitiesLogistics AdminTrigger shipments based on warehouse noticesGenerate shipping labels and confirm dispatchUpdate ERP records and shipping systemsFollow SOPs for bundled shipments and special fulfillment casesInbox & Quote ManagementHandle incoming support emails professionally and efficientlyPrepare and send quotes (pricing, VAT, shipping)Coordinate with suppliers and oversee order progressPrioritize high-value customers and escalate as neededExecutive & Personal Assistant TasksConduct ad-hoc research (e.g., travel planning, service providers, gift ideas)Maintain operational spreadsheets and internal filesLight personal support and errand coordination (5–10%)Tools & TechnologyYou’ll work with the following systems and should have experience with, or the ability to quickly learn:Freshdesk (ticketing system)Freshsales CRM (Freshworks ecosystem)Dutch ERP system for warehousing and inventoryMicrosoft Office apps (Excel, Outlook, Word)Google WorkspaceClickUp and Notion (task tracking and documentation)SendCloud (shipping aggregator: UPS, DHL, etc.)Loom (recording and sharing SOPs or updates) * Hubstaff (time tracking—must be comfortable using from Day 1)
