Responsible for providing an efficient human resource administration and record keeping service to the business. Working as part of the Human Resources Shared Services team, will deliver transactional services to employees, Independent Contractors, Line Management and the HR Business Partners. The responsibilities will include, staff appointments and terminations, payroll input, leave administration, long service awards, file management and IC administration.Key Performance Areas:
Staff AppointmentsReceives completed Recruitment pack from Brand/business, checks completeness and follows up on outstanding documentation
Inputs new employees and Independent Contractors onto APS, timeously and accurately
Forwards relevant documentation to external service providers viz Medical Aid and Retirement Fund Administrators
Advises other departments regarding new staff member viz IT
Staff TerminationReceives instruction to terminate, checks supporting documentation and follows up on outstanding documentation
Establishes outstanding leave
Processes the termination on APS, timeously and accurately
Arranges for automated exit interview
Informs Medical Aid and Retirement service providers and forwards necessary documentation
Monitors Fixed Term Contractor expiry dates and advises HRBP/ Line Management, timeously
Processes and issues a Certificate of Service
Responds to queries from past employees, trade etc
Leave Administration Captures manual leave forms and updates APS accordingly
Advises Payroll regarding Maternity leave commencement
Performs leave reconciliations as required
Generates leave reports on request
Monitors leave balances and escalates problems to Line Manager or HRBP
Advises staff regarding leave recording and outstanding balances
Responds to leave queries, timeously
Staff Movement
Processes promotions, transfers etc on APS, timeously and accurately
Follows up with other HR staff to ensure transfers are effected, timeously
Ensures all relevant documentation has been provided and follows up if it hasn€™t
Payroll
Prepares input for monthly payroll
Responds to payroll queries timeously from employees as well as ICsChecks monthly Payroll reports, identifies any anomalies and resolves sameRecord KeepingEnsures staff files are maintained and kept up to date
Files all necessary documentation, timeously and appropriately
Provides up to date information to HRBP or Group HR, as requested, for reporting purposes
IC AdministrationPrepares IC contracts and Addendums, timeously and accurately
Ensures ICs are allocated an email address
Distributes APS user IDs and passwords to ICs
Tracks expiry dates for work permits and ensures contractual compliance
Checks invoices against Tracking sheet, identifies anomalies and follows up
Education:
Grade 12
Diploma in Human ResourcesExperience:
Human Resource Administrator 3-5 yearsAdvance knowledge of Payroll Systems and ESS SystemsComputer Literate (Excel, Word, Outlook, Powerpoint, Visio)Excellent knowledge of legislative requirements
Competencies:
