REPORTING TO THE EXPORT SUPERVISOR JOB PURPOSE: Responsible for all tasks relating to the general administration of export orders which includes maintaining of records, preparation of reports and assisting Export Operations team when required. JOB FUNCTION: Export Administration: Job file is opened for each export order. Order confirmation or proforma invoice is completed accurately when required. New jobs received via Export Log are re-assigned within agreed period. Filing as per departmental procedure. Archiving as per departmental procedure. Insurance schedule to be updated with details of jobs shipped within agreed period and forwarded to insurance broker, monthly/annually. Export logbook is updated daily. Information for VAT compliance to be updated within three months of shipment. Queries to be responded to within 24 hours. Documentation is compiled as per legal requirements. Export Coordination: Freight forwarders are contacted to obtain estimates and quote internal business unit accordingly. Follow up with freight forwarders and obtain relevant documentation back within agreed period. Courier shipments are despatched in line with set procedures. Suppliers invoices are processed to ensure on time payment. General Administration: Stationery and Grocery requirements for Department are ordered and records of this filed. All machines are kept in working order and any malfunctions are reported immediately.
QUALIFICATION: A minimum qualification of Matric/Grade 12. REQUIREMENTS: A minimum of 2 years related administrative experience preferably in an export environment. Proficient in Microsoft Office Suite (MS Word, Excel and Outlook) and JDE is advantageous. Displays an understanding of export related functions Follow ups, quality orientated, customer focused, has planning and organising skills.
