Job Description :A financial services company is seeking a skilled Advisory Assistant. Your key focus area in this role is to provide administration and support to Advisors in relation to client relationships and key business drivers: retention and acquisition of clients.You will be expected to assist with client relationships and key business drivers, and the retention and acquisition of clients.This is a permanent, in-office role. An elevated desire to operate in a professional manner and conduct yourself in a polite and highly organised and effective manner is imperative, with previous experience in the financial services industry in an admin support / medical aid / gap cover role is essential.Responsibilities:COMMUNICATION and CLIENT INTIMACY:Follow up on various instructions with internal and external stakeholdersPhone client to request documents and schedule meetings either via email or WhatsAppAttend to client queriesLiaise with the events co-ordinator regarding RSVP on respective clientsAttend client presentationsProspecting events and interact with clientsLiaise with finance division in respect of commission and feesFriendly and caring to the client in all endeavoursAssist client in completing and signing documentsAttend frequent team catch up meetingsADMINISTRATION:Prepare documentation for client meetingsLoad and update new business registerComplete forms and liaise with clients for signing docsRequest any FICA, KYC information from clientsLoad clients onto the CRM systemComplete onboarding packSubmit various instructions/workflowsFrequently track and monitor all instructions:New business, ad-hoc top ups, withdrawals, switches, maturities, income change and section 50 and section 14 transfers updating client informationUpdate beneficiary changesManage annual review schedule by keeping it up to date and scheduling appointments and confirming meetings with clientsExecute and monitor the actions that need to be taken on the conclusion of the meetingAdhering to any outstanding requests from internal and external stakeholdersFSP transfers/confirmation of investments to be executedCALCULATIONS:Perform calculations in terms of fund allocationPerform CGT calculations for switches /withdrawalsPerform fee report calculations for clientsGenerate performance analysis of clientsPRACTICE MANAGEMENT:Ensure that Wills are accurately filled in the Wills safeConstantly monitor and update FICA and FAISManage depleted holdingsEnsure client has signed correct mandateEnsure CRM system is kept up to dateEnsure CCM management and regular Dox Fox screeningGREATER OFFICE CONTRIBUTION:Assisting and mentoring of other AssistantsAssisting with reception on a rotational basisBehave and communicate in line with the company’s values of Integrity, Respect, Ownership and Excellence.EDUCATION:Develop a moderate level of technical knowledge and ensure it is maintained or expanded.Participate in training and development as outlined in the individual training plan.PERFORMANCE ASSESSMENT:Contribute towards setting individual objectives and KPIs in conjunction with management, and based on achieving business objectivesProvide accurate reports on individual performance and activities as requested.Contribute towards assessment of individual skills and compilation of training and development plan.Attend formal performance reviews at least annually.Comply with all business policies and procedures.Contribute towards assessment of office morale and culture.Requirements
  • Strong admin skills and attention to detail
  • Strong communication, telephonic, written and with clients
  • Please note for this role: Background checks will be conducted and therefore a clear credit and criminal record are non-negotiable
  • Previous experience in the financial services industry
  • Outlook and general Office 365 (specifically strong Excel skills, experience with MS Teams and SharePoint)
  • CRM
