General administration by:
  • Answering incoming telephone calls and redirecting as required
  • Ordering of stock and maintaining stock levels
  • Requesting quotes for non-stock parts from suppliers
  • Generating order numbers and ordering non-stock parts from suppliers
  • Generating customer quotes and submitting for approval and order numbers
  • Following up on outstanding order numbers and invoices
  • Resolving customer and supplier queries
  • Monitoring and requesting of cleaning supplies and office supplies
  • Compiling of branch job cards
  • Liaising between workshop and customers regarding status of work in the workshop
  • Booking breakdowns with suppliers
  • Assisting branch foreman with administrative requirements
Maintaining cost control measures by:
  • Maintaining latest prices for suppliers by updating supplier files with rate increases
  • Obtaining discounts from suppliers where possible
  • Checking supplier invoices for incorrect rates
  • Checking supplier invoices for warranty items
  • Monitoring costs of consumables to the wash bay and reporting variances to the Service Manager
Other administration and compliance:
  • Ensuring a safe, healthy and secure working environment and compliance with Labour Legislation
  • Ensuring compliance with all HR Policies, practices and administrative policies
  • Reporting of non-conformance to the branch foreman and the HR department
  • Ensuring that the workshop is never left unattended and is locked at all times
  • Managing staff leave and timesheets
Requirements
  • Matric (Grade 12)
  • 2 Years working in a workshop environment – an advantage
  • Knowledge of tyres / workshop environment
  • 2 Years general understanding of admin practices
  • Basic understanding of general accounting principles and procedures
  • Basic Excel, MS Word and Outlook applications
  • Ability to work under pressure & work unsupervised majority of the time
  • Ability to communicate both verbally and written on all levels – both internally and externally
  • Ability to work as a team player
  • Ability to communicate fluently in both English and Afrikaans
  • Ability to work the following hours : 07h00 – 16h00
  • Good time management – meeting specific deadlines
  • Prepared to work outside normal working hours – as and when required
  • Attention to detail at all times – accuracy
  • Excellent listening skills
  • Self-motivated & reliable
  • Presentable and of a professional manner at all times
  • Unendorsed valid code 8 driver’s license – not a prerequisite
  • Own reliable transport to and from work
