- Act as the primary point of contact for all office-related matters, including maintenance, supplies, deliveries, and health & safety.
- Manage relationships with vendors and service providers, including cleaning, security, catering, and property management.
- Oversee space planning, desk allocations, and meeting room coordination.
- Ensure the office is well-stocked, clean, and welcoming at all times.
- Work closely with the People team to plan and host events, celebrations, and team-building activities in Cape Town.
- Welcome guests, candidates, and new joiners to the office, creating a professional and friendly environment.
- Act as a culture ambassador, encouraging engagement and team connection through creative initiatives.
- Support the rollout of company-wide events and campaigns locally (e.g. all-hands meetings, wellness days, charity drives).
- Maintain internal documentation related to office processes, policies, and procedures.
- Support travel coordination and accommodation bookings for visiting team members.
- Assist with coordinating logistics for onboarding, such as desk setups, welcome packs, and office tours.
- Partner with finance and operations on budget tracking, invoicing, and workplace spend monitoring.
- Review and improve workplace operations to ensure they scale with team needs.
- Build repeatable processes for recurring tasks (e.g. supply orders, vendor reviews, fire drills).
- Gather feedback from employees to help identify opportunities for improving the workspace experience.
- Support budget planning for office-related expenses; track and reconcile invoices and recurring workplace costs.
- Manage and review contracts with vendors to ensure cost-efficiency and service quality.
- Research and recommend new vendors, suppliers, or products as needed.
- Work closely with Finance to support expense reporting and procurement documentation
- 3–5 years of experience in administrative, operational, or office management roles
- Strong written and verbal skills, supervising staff, delegating tasks, and coordinating with clients, vendors, and stakeholders.
- Exceptional organisational skills and a strong attention to detail.
- Desirable: Experience coordinating all aspects of setting up a fully functional office from inception to launch
