Real Estate Operations ManagerOVERVIEW:
We are looking for a highly motivated and detail oriented Client Support Specialist to join our real estate operations team. This role is responsible for managing inbound calls, handling system enquiries, and coordinating maintenance requests by channelling them to the appropriate department. The successful candidate will serve as the first point of contact for clients, ensuring efficient query resolution, accurate screening of client information through the company’s technology platform, and driving leads through to completion.DescriptionDESCRIPTION OF RESPONSIBILITIES (not limited to)
- Serve as the first point of contact for clients and prospective tenants by handling inbound calls, enquiries, and assigned conversations.
- Collect client/prospective tenant details, book viewings or reservations with leasing agents via the booking system, and ensure all leads are tracked through to completion.
- Manage and update the company’s CRM and console systems, including unit availability, client records, and lead status.
- Coordinate and channel maintenance requests to the relevant department or service provider.
- Generate reports on leads, track outcomes, and follow up with clients for feedback to improve service and conversion.
- Collaborate with leasing agents and management to support marketing efforts and improve unit placements.
- Application of tenants to lease and Tenant FICA compliance process.
- Monitoring of available units and management of vacancies with a focus on low vacancies and high placements.
- Provide administrative support to the operations team while ensuring accurate record-keeping and task completion.
- Maintain excellent customer service standards, adapting o business needs and working effectively both independently and within the team.
- National Senior Certificate (Grade 12).
- 3–5 years’ experience in tenanting and leasing industry.
- Exposure to affordable housing or township rental stock preferred.
- Proficiency in using relevant systems and software.
- Customer service orientated.
- Basic knowledge of property management principles and rental procedures.
- Proficiency in CRM systems and technology platforms
- Strong verbal and written communication skills, with the ability to engage professionally with clients
- Familiarity with leasing and marketing strategies.
- Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
