
Sailing Scheduling Administrator

- Internal: Operations teams, Tracking desk, Helpdesk, Sales, Management
- External: Clients, Shipping Lines, Transnet, PPECB, RMS, TPT, and other relevant service providers
- Create and update vessel schedule templates in Excel and internal systems
- Daily update of ETAs/ETDs, stack dates, SI cut-offs, ports, and vessel information
- Capture and verify schedule information received from shipping lines
- Maintain consistency and accuracy across all scheduling platforms
- Add new vessels and routes weekly according to shipping line updates
- Daily container tracking for all shipments
- Client-specific tracking (e.g., SAFPRO, Xtreme)
- Monitor and update delays in transhipments and discharges
- Update NAV and internal systems with current SI cut-offs
- Manage scheduling-related queries and assist internal/external clients
- Investigate and resolve discrepancies and deviations
- Communicate effectively to ensure timely and accurate resolution
- Compile deviation reports and distribute to relevant internal stakeholders
- Attend daily and weekly team huddles to provide updates and insights
- Maintain effective working relationships with internal stakeholders and external partners (shipping lines, PPECB, RMS, etc.)
- Maintain up-to-date distribution lists and share relevant industry circulars
- Ensure high levels of professional communication and customer service
- Grade 12 (Matric)
- Relevant tertiary qualification in Logistics, Shipping, or related field (advantageous)
- Strong data management and reporting skills
- Proficient in Microsoft Excel and data entry systems
- Experience working with or communicating with shipping lines, logistics service providers, and clients
- Problem-solving experience in deadline-driven environments
- Background in logistics, freight forwarding, or maritime shipping highly beneficial
- Highly accurate and detail-oriented
