We are seeking an exceptional Personal Assistant to provide high-level administrative and strategic support to our Managing Executive and his team. This role demands a confident communicator, a master of multitasking, and someone who thrives in a fast-paced, dynamic environment. If you excel at anticipating needs, managing complex schedules, and handling sensitive information with integrity, we'd love to hear from you.Key Responsibilities
  • Extensive engagement, liaison, and coordination with Executive
  • Diary management of high complexity executive diaries - video conferences, meetings and events
  • Assistance and preparation of business submissions (Exco and board packs etc.)
  • Be of support and assistance to a Sanlam Corporate executive leader and the team
  • Attend to the logistics of meetings - venues, catering, equipment, etc.
  • Full coordination of Executive's travel and accommodation arrangements
  • Preparation of letters, slides, minutes of meetings, etc.
  • Managing office communication
  • Handling internal and external calls efficiently and professionally
  • Office management to include ordering of stationery and office supplies, maintaining office systems such as filing and data management, responsible for processing EXCO office accounts and payments of invoices, consolidating and collating and distribution of monthly EXCO reports
  • Ensuring delivery and service level management of internal and external service providers for daily services
  • Administrative functions relevant to business requirements and ad hoc projects
Qualification and Experience
  • Matric / Grade 12
  • Secretarial diploma or relevant qualification (e.g. Higher Certificate in Office Administration, Diploma in Administrative Management etc)
  • A degree would be advantageous
  • 5 years'+ experience as a PA at an executive level and/or complex operation
  • Exposure to environment with sensitive/confidential information is essential
  • Business etiquette on an executive level
  • Relevant experience in the financial services sector
  • Microsoft Office Suite (Outlook, Excel, Word, PowerPoint
  • Video conferencing tools (Zoom, Teams, Webex)
  • Document management systems (e.g. SharePoint, Google Drive)
