Job SummaryOur client, a prominent brand name, is currently looking to employ an experienced Executive Assistant based in Gqeberha.Requirements:
  • 5 years' experience in office or project management.
  • Ability to manage time, projects, and people effectively, with strong multitasking skills and adaptability.
  • High level of discretion and ability to handle confidential information.
  • Excellent organizational and time-management skills.
  • Strong analytical and problem-solving abilities.
  • Strong interpersonal and communication skills.
  • Proficient in Microsoft Office and other digital tools, with the ability to quickly learn new systems and processes.
  • Familiarity with office equipment and day-to-day operational support.
  • Experience or exposure to the marketing, advertising, or a similar industry will be an advantage.
Responsibilities and expectations but not limited to:CEO and Group MD Support:
  • Coordinate and schedule business and personal meetings, proactively managing calendars.
  • Manage emails and calls on behalf of CEO and Group MD and act as primary contact for internal and external stakeholders.
  • Arrange travel, including flights, accommodation, and detailed itineraries
  • Assist with personal errands as and when needed.
  • Handle medical bookings, vehicle services, and other personal logistics.
  • Manage personal documentation, including contracts, legal papers, and confidential correspondence.
  • Prepare reports and compile relevant business or personal information.
Office Administration:
  • Manage and resolve office space planning, moves, and workstation changes.
  • Collaborate with HR to maintain a productive office environment.
  • Oversee front-office tasks, guest experience, and general inquiries.
  • Support planning of internal and off-site events.
  • Collaborate with the finance team to maintain office equipment, manage vendor relationships, oversee insurance, coordinate deliveries, and procure necessary supplies.
Marketing Coordination:
  • Support planning and execution of marketing initiatives across events, PR, email, social media, and website.
  • Coordinate media relations and corporate communications to boost brand exposure.
  • Assist in organizing community and marketing events, including logistics, registrations, vendor liaison, and collateral.
