- Supervision & Coordination:
- Supervise daily courier operations including pickups, drop-offs, and deliveries.
- Coordinate the timely and accurate handover of shipments to export and courier companies.
- Ensure proper packaging, labelling, and documentation of all outbound shipments.
- Order Management & Internal Coordination:
- Proactively chase and follow up on internal orders to ensure all shipments are accurately picked, packed, and invoiced in time for scheduled handovers.
- Work closely with warehouse, sales, and finance teams to ensure readiness of orders in line with the daily dispatch and export report.
- Maintain clear communication across departments to avoid delays and ensure smooth dispatch operations.
- Export Logistics Management:
- Manage export shipments, ensuring compliance with international shipping regulations and internal policies.
- Prepare and verify waybills, export documents, and customs paperwork.
- Obtain freight quotes from courier and freight companies in order to facilitate customer freight approvals and ensure freight costs are paid.
- Monitor and track international shipments until final delivery.
- Vendor Relationship Management:
- Build and maintain strong relationships with freight forwarders, courier companies (e.g., DHL, FedEx, UPS), and third-party logistics providers.
- Negotiate rates, resolve service issues, and ensure optimal service levels from external logistics partners.
- Act as the key point of contact for all escalations and service issues related to courier and export shipments.
- Process Improvement & Compliance:
- Identify and implement process improvements for increased efficiency and accuracy.
- Ensure all logistics activities are in compliance with company policies and export/import regulations.
- Maintain accurate records of shipments, handovers, and courier logs.
- Team Support & Reporting:
- Train and supervise junior staff handling shipments and logistics.
- Provide regular reports on courier performance, delays, and logistics KPIs.
- Minimum 3–5 years of experience in a courier/logistics supervisory role.
- Proven experience managing exports and dealing with freight and courier companies.
- In-depth knowledge of waybills, shipping documentation, and handover procedures.
- Strong understanding of international shipping regulations and Incoterms.
- Excellent communication, coordination, and negotiation skills.
- Proficiency in Microsoft Office and logistics software (e.g., SAP, Oracle, or similar).
- Ability to multitask, prioritize, and work under pressure in a fast-paced environment.
- Diploma or degree in Logistics, Supply Chain Management, or a related field.
- Experience-Based Consideration: Candidates without formal qualifications may still be considered based on demonstrable industry experience.
- Familiarity with customs clearance processes.
- Existing relationships within the freight and courier industry.
