- Be present in office hours which is weekdays from 7:30 to 17:00 and be prepared, with prior arrangement and only occasionally, to work one Saturday per month 8:00-13:00.
- Oversee daily practice operations, including patient care coordination, scheduling online diary, and ensure accurate billing.
- Respond to enquiries on "Whatsapp" and stay in possession of the practice cell phone when the owner is away traveling for work.
- Prepare and submit quotations for patients.
- Provide dosage schedules from a template, scan patient records, and file relevant documentation.
- Prepare patient orders and arrange for courier services when needed.
- Manage financial aspects of practice operations including billing and receiving of funds
- Liaise with the practice accountant monthly which includes uploading of all required documentation relevant to "month-end" services.
- Stock control, monitoring inventory and placing of orders with suppliers AND Purchase office consumables.
- Supervise and mentor staff, fostering a collaborative and high-performance team environment.
- Proficient in planning, implementing, and reporting on business operations to the owner. The owner currently travels monthly for work related projects to different provinces.
- A qualification in Business and/or Project Management
- Highly organized with the ability to multitask and prioritize with keen attention to detail
- Advanced Proficiency in MS Office, particularly with Excel, including V-lookups
- Proficiency in Xero. This is used for patient billing and quotations and not for accounting purposes.
- Strong competence in managing administrative and financial tasks.
- Effective management of client and supplier relationships.
- Skilled at overseeing logistics and courier services.
- Language Skills: Fully bilingual in Afrikaans and English.
