- 5+ years experience in commercial property management or related field, including financial, legal, and operational duties.
- Strong knowledge of rent collection, debt recovery, budgeting, and reporting.
- Experience coordinating maintenance and contractors, ensuring property compliance and upkeep.
- Familiarity with lease agreements, property legislation, and risk management.
- Excellent organizational and administrative skills, able to manage multiple priorities.
- Professional, discreet, and effective in tenant and stakeholder communication.
- Proficient in Microsoft Office and property management software.
- Matric (Grade 12); further qualifications in business or property management advantageous.
- Act as the primary point of contact for tenants, addressing inquiries, lease issues, maintenance requests, and general communication.
- Maintain detailed, up-to-date records of tenants and properties, including lease agreements, contact information, payment histories, arrears, and occupancy data.
- Prepare and present regular reports to management/owners, covering financial performance, rent collection, vacancies, maintenance, and compliance metrics.
- Oversee full financial operations for properties, including budgeting, forecasting, expense management, and monitoring income vs. expenditure.
- Ensure timely rent collection, monitor arrears, implement debt recovery procedures, and liaise with legal advisors when necessary.
- Organize, coordinate, and supervise property inspections, repairs, preventative maintenance, and contractor/service provider performance.
- Facilitate leasing processes, including tenant applications, onboarding, renewals, and marketing of vacant units to minimize downtime.
- Ensure all property management activities comply with relevant legislation, lease agreements, and internal policies, including health & safety and environmental requirements.
- Draft, review, and manage all documentation and correspondence, including legal notices, lease renewals, disciplinary actions, and dispute resolutions.
- Administer contracts for utilities, services, and insurance, ensuring compliance and cost-efficiency.
- Collaborate closely with finance, legal, and operations teams to ensure smooth property management and reporting.
- Perform additional duties as required to support management objectives and operational excellence.
