- Assist lawyers with all administrative tasks, including but not limited to scheduling appointments, managing calendars, making travel arrangements, and preparing expense reports.
- Handle incoming and outgoing correspondence, including emails, letters, and faxes.
- Maintain and organize physical and electronic filing systems, ensuring documents are easily accessible and properly stored.
- Draft and format legal documents, including pleadings, motions, briefs, contracts, and agreements, under the guidance of attorneys.
- Proofread and edit legal documents for accuracy, grammar, and consistency.
- File and serve legal documents in accordance with court rules and deadlines.
- Serve as a primary point of contact for clients, answering inquiries and providing updates on case status as needed.
- Coordinate client meetings, conferences, and depositions, ensuring all logistical arrangements are in place.
- Conduct legal research using online databases, libraries, and other resources to support attorneys in case preparation and strategy.
- Compile and organize case materials, exhibits, and evidence for use in hearings, trials, and meetings.
- Assist with timekeeping and billing activities, including entering billable hours and expenses into the billing system.
- Prepare and distribute client invoices, ensuring accuracy and compliance with billing guidelines.
- Bachelor's degree or equivalent advantageous
- Previous experience as a paralegal secretary or legal assistant in a law firm setting is highly desirable.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Excellent written and verbal communication skills, with meticulous attention to detail.
- Knowledge of legal terminology, procedures, and documentation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability and willingness to learn new skills and technologies.
