We are seeking a detail-oriented Billing and Accounts Coordinator to manage the full billing process and financial tracking for a growing US-based law firm. This role is crucial in ensuring that attorneys are supported, billing cycles run smoothly, and revenue is accurately allocated. You will serve as the primary point of contact for billing-related inquiries, collaborating closely with attorneys, the managing partner, and the firm’s operations team.Key Responsibilities:
  • Manage the full billing cycle, including time entry reminders, pre-bill generation, attorney reviews, and final invoice processing in Clio.
  • Monitor trust and operating accounts (view-only) and track incoming payments.
  • Allocate revenue according to the firm’s compensation model (50% billing attorney, 25% originator, 25% firm).
  • Prepare and distribute clear payment breakdowns and reconciliations for attorneys and the managing partner.
  • Communicate proactively with attorneys and leadership, providing regular updates and flagging issues promptly.
  • Follow up with attorneys to ensure deadlines are met and billing remains on schedule.
  • Maintain accurate financial tracking through detailed spreadsheets and reconciliations.
  • Assist with process improvements and implementation of SOPs.
  • Provide additional administrative or project support during slower billing cycles.
What We’re Looking For:
  • 3+ years of experience in billing, accounting, or financial administration (law firm or professional services preferred).
  • Familiarity with Clio or similar legal practice management/billing software (or ability to learn quickly).
  • Prior experience working with US-based companies or clients.
  • Strong proficiency with Excel/Google Sheets for tracking and reconciliations.
  • High attention to detail and accuracy in financial data management.
  • Excellent written and verbal communication skills; comfortable with proactive follow-up.
  • Ability to manage multiple priorities and meet deadlines consistently.
Other Requirements:
  • High-speed fiber internet (minimum 50–100 Mbps).
  • Own laptop/desktop with external monitor.
  • Stable backup power supply.
  • Quality headset with a built-in microphone.
  • Availability: Monday–Friday during U.S. time zones.
