This role is suited to someone eager to learn, adapt quickly, and bring fresh energy to a fast-moving environment.The ideal candidate is intelligent, quick to grasp new ways of working, and able to anticipate needs with foresight and initiative. You’ll be confident, calculated in your approach, and skilled at keeping multiple priorities on track with precision and speed. Above all, you’ll bring competence, resourcefulness, and a proactive, problem-solving mindset that allows the executive team to focus on what matters most.If you thrive in dynamic settings, enjoy problem-solving, and are excited by the opportunity to grow while enabling executive-level effectiveness, we’d love to hear from you.What will you do: Provide high-level executive and administrative support to the company Director and COO to ensure seamless coordination of business and personal schedules, board governance processes, and communications. Role includes management of office administration.Personal Assistant to CEO and Chief Operations Officer· Effectively and discreetly manage personal and work schedule· Assist with personal errands· Diary management· Logistics and travel management for senior managementCompany Governance and Board meetings Management· Manage Company documentation – CIPC, Shareholders and BBBEE· Management of all board meetings and related documents for all companies including staff trustOffice Administration· Manage the office maintenance and cleaning teams· Coordination of Office events· Monitor office supplies and liaise with vendors.· Assist with expense tracking, reimbursements, and petty cash managementStakeholder Management and Communication· Foster positive relations with all stakeholders· Ensure that complaints resolved or escalated within an acceptable time frame· Coordinate internal communications and follow up on action items.· Draft professional emails, memos, and internal notes on behalf of the executiveOther administrative duties· Payments, purchasing and uploading of invoicesRequirementsMinimum Requirements:
  • Diploma in Office Administration / Business Administration / Public Administration/ Secretarial studies or equivalent
  • Minimum 5 years of experience in a secretary / PA role, ideally supporting C- suite executives or board members.
  • A valid driver’s license – comfort driving manual CEO vehicle
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Comfort with technology and using most mobile applications eg flight websites, Uber etc

  • Outstanding written and verbal communication skills.
  • Meticulous attention to detail, with the ability to manage multiple priorities.
  • A proactive and solutions-oriented approach to problem-solving.
  • Confident and articulate-ability to be the face for the business with new clients
  • Experience in board meeting preparation, minute-taking, and governance-related processes advantageous.
  • Familiarity with corporate governance frameworks and company secretariat support will be a strong advantage.
