Job Description :Purpose of the Role:To provide administrative support to the Store Administrator by ensuring efficient and accurate handling of daily admin duties, while maintaining excellent customer service and contributing to smooth store operations.Key Competencies:Knowledge:Junior Admin roles and responsibilitiesCurrent campaigns and promotionsIdentifying fraudulent documentationCompany payment types and financial systemsBehavioural Competencies:Excellent telephone and interpersonal etiquetteAttention to detail and high accuracyIntegrity, reliability, and honestyCalm under pressure and able to multi-taskPositive attitude and team playerWell-groomed and professional appearanceKey Responsibilities:1. Customer ServiceGreet customers professionallyHandle incoming calls within 3 ringsProvide accurate information and handle queries courteously2. Daily Admin FunctionsDebtors & Creditors processing and reconcilingCapturing and authorising invoices, credit notes, and EFTsRun daily end-of-day reportsFiling of all documentation (invoices, GRVs, IBTs, credit notes)Monitor and report outstanding items3. Cashbook & BankingProcess and capture various payment methodsBalance cash and floats dailyConduct float handovers and order change as neededHandle deposits, receipts, gift cards, and refundsPrepare and file banking documentation4. Document ManagementMonitor, collate, scan, and file documents dailyFax and email documents to internal and external stakeholdersEnsure completeness and correctness of documentation5. Support FunctionsMaintain housekeeping and office area standardsOrder and check stock of admin/cleaning materialsAssist with staff clothing orders and archivingProcess online credit facilities and related invoices6. Ad-hoc DutiesProvide admin cover when the administrator is on leavePerform other reasonable duties as assigned by managementWorking Conditions:Required to work certain Saturdays and Public HolidaysParticipate in stocktakesOvertime may be requiredMust be presentable (front-line role)Accountability & Decision-Making:Handle and report cash variancesEnsure accuracy of daily filing and month-end readinessSafeguard campaign promotional itemsAlert managers to fraudulent activity or payment discrepanciesRequirementsMinimum Requirements:Education:Grade 12 (Matric) – EssentialBookkeeping Diploma – AdvantageousExperience:6-12 months administration experience in a retail environment – Essential1-2 years retail admin experience – PreferredDrivers licence and own vehicle – AdvantageousTechnical Skills:Basic BookkeepingStrong administrative and filing skillsMS Office proficiency (Outlook, Word, Excel)Familiarity with financial systems (PROIV) and in-house systems (EVAR, Sharepoint, ESS)Ability to handle various payment methods (cash, debit/credit cards, buying aids)
