- Oversee and organize high-volume email inboxes daily
- Update and maintain CRM systems with accurate data
- Track leads, monitor follow-ups, and ensure timely communication
- Manage executive calendars with precision and efficiency
- Coordinate meetings across multiple time zones
- Anticipate scheduling needs and resolve conflicts proactively
- Make occasional outbound calls to prospects with professionalism
- Maintain a clear and friendly phone presence with an American/European accent
- Draft and send polished communications on behalf of the executive
- Prepare reports, updates, and summaries as needed
- Support sales and marketing initiatives when required
- Provide general executive assistance to streamline daily operations
- You excel in managing details while keeping the bigger picture in mind
- You communicate clearly, whether over email, CRM notes, or phone calls
- You have demonstrated long-term commitment, with at least 2+ years in one role
- You bring experience in administrative support combined with sales/marketing skills
- You’re resourceful, reliable, and comfortable managing multiple priorities independently
- Minimum 2+ years of experience in one role (stability is highly valued)
- Proven experience in inbox, CRM, and calendar management
- Strong phone presence with a neutral American/European accent
- Prior experience in sales, marketing, or finance is a plus
- Excellent written and verbal English communication skills
