You’ll be the operations heartbeat for the principals—owning calendars, communication, and coordination while keeping projects, vendors, and documents organized. The right EA goes beyond “admin” and acts as a light operations layer that sharpens accountability and executionRole Responsibilities:
- Administrative support to company principals: calendar + inbox management, meeting prep, action tracking, and follow-ups.
- Project coordination & management: create/maintain tasks, dependencies, owners, and due dates in Asana; help keep project docs tidy in Google Drive.
- Stakeholder communications: handle calls and messages with clients, contractors, and vendors via WhatsApp/phone/email (and Slack if used).
- Property & ops tooling: support workflows in Buildium (or similar) for work orders, vendor coordination, and documentation.
- Bookkeeping (as needed): assist with QuickBooks tasks such as basic coding, AP/AR entry, and pulling simple reports—scope depends on candidate strength.
- Quality & detail: ensure high-quality output, clean documentation, and reliable follow-through across all tasks.
- Hands-on experience with QuickBooks, Asana, and Google Workspace.
- Familiarity with project/property management tools (Buildium or equivalent preferred).
- A bachelor’s degree is beneficial but not mandatory.
- Prior experience in administrative roles, ideally in property management or project coordination.
- Excellent spoken and written communication, comfortable with calls and client-facing updates.
- Strong attention to detail, quality standards, and professionalism.
- Self-managing: able to plan work, meet deadlines, and escalate risks early.
- Comfortable using WhatsApp and (potentially) Slack for daily communication.
- Calendar & inbox hygiene: daily triage completed; conflicts resolved proactively.
- Project visibility: live Asana boards with clear owners, dates, and status; weekly updates to principals.
- Stakeholder responsiveness: same-day responses internally; within 1 business day for vendors/clients.
- Documentation quality: organized files, accurate notes, and audit-ready records.
- Bookkeeping assist (if in scope): tasks completed on time with minimal rework.
