- HR Administration, Data Management and Reporting
- Responsible for all administration related to employee life cycle including new engagements, benefits, employee changes, leave analysis, terminations, etc
- Communicate and create understanding of all payroll processing, HR policies and procedures to employees.
- Prepare line managers and coordinate the annual processes and performance management.
- Prepare monthly business unit HR update reports as well as quarterly review reports.
- Attend to General requests queries from internal and external customers
- Follow up on all referred queries & complaints to ensure that they dealt with and followed through
- Check that all HR documentation has been received, kept confidential and information is up to date in a safe and a secure environment
- Provide all parties timelessly with the relevant and accurate HR documentation
- Update organograms and staff sites on a monthly basis
- Recruitment, Selection and Onboarding
- Ensure proper approval prior to commencing recruitment through the acquisition process on SAP
- Advise line managers to complete accurate job profiles, advertisement, package parameters and any other relevant documentation
- Ensure that the recruitment process is followed from start to end in order to recruit effectively and reduce turnover (the right person for the job) through accurate job descriptions assessments checks and targeted selection
- Conducting of interviews with line managers and discuss the long and the short lists with line managers and recruitment and interview applicants together with the line managers
- Propose options to the HR manager regarding recommended starting salary based on internal and market comparisons advise recruitment of successful applicants and complete the necessary engagement documents
- Performance management
- Provide parties timelessly with the relevant and accurate HR documentation with regards to performance management and appraisals (including system for ITSS)
- Facilitate and ensure a thorough understanding of the performance management system by the stakeholders
- Provide guidelines on managing employment performance to monitor progress and promote development of employees through appropriate performance management system
- Ensure performance contracts and reviews completed by due dates
- Capture all performance ratings on SAP follow up with outstanding IPA's and ensure all IPA's are received in time for the annual increment process
- Extract the annual increment schedules for review with HR manager and sent for management review
- Track training initiatives against development plans received and provide feedback to HR manager
- HR information system administration
- Conduct integrity check of master data to ensure all data is complete and accurate
- Conduct quarterly review of the HR systems access in relation to roles and responsibility of individual users across ESS and MSS, etc
- Follow the workflow process designed by loading all relevant data to ensure the next step in the cycle can be completed on the system and obtains outstanding information where these are identified
- Address all general HR information system information queries received from management and employees
- Coordinate the data for the annual headcount and budget and annual increase exercises, line manager access checks reporting lines etc
- Provide assistance and support to line managers with using SAP
- Employee assistance programs and Wellness administration
- Coordination and administration around the employee Wellness plan including the ongoing communication of the Lyra offerings
- Provide input and suggestions to the HR manager when setting up the employee Wellness plan including the ongoing communication of the Lyra offerings
- Oversee and manage the annual Wellness and staff events
- Provide all parties timeously with the relevant and accurate HR documentation around Wellness programs
- Monitor compliance with health and safety legislation
- Talent management, Learning and development
- Support the HR manager in delivering talent management output
- Track and submit all business units training initiatives to learning and development
- Collect all information for the submission of the workplace skills plan and annual training report as well as employment equity plans while liaising with line managers and executives
- Coordinate and track all educational assistance for accurate supporting docs and SAP upload
- Facilitate the identification of learning needs and areas of development and arrange necessary training where needed
- Check and coordinate graduates programs and learnerships serve as a point of contact and provide required employee information for the management information pack for BBBEE
- Industrial relations
- Provides IR advice to line managers to ensure thorough understanding of IR policies and offences guideline
- Ensures effective relationships and communication between the company and other relevant parties
- Arrange training sessions for line managers where applicable to ensure a thorough understanding of IR policies, set up internal and attend disciplinary hearings, appeals and attend grievance meetings and take minutes
- At least 3 - 5 years HR Experience in a corporate environment
- 3 year National Higher Diploma / Degree in HR
