The System Operator is responsible for all system-related activities on the warehouse management system Igloo.
Key responsibilities include, but are not limited to Capturing stock on Igloo, Stock Control and generating of orders. Customer communication assists the Operations Manager with planning.
The System Operator serves as an interface and coordinator amongst warehouse operations, customer service and traffic.
The System Operator adheres to and drives the respective rooms internally and customer “non-negotiables.”SPECIFIC DUTIES & RESPONSIBILITIESOperationsProcess Customer orders on Igloo
Receives loading schedule from Customers (Time and date of loading and off-loading)
Process sales orders.
Allocate orders ensuring FEFO is maintained and that no expired stock is allocated on an order.
Inform the Floor Manager by radio when orders have been created.
To import the daily schedule on Monday.com and update it throughout the day.
Dispatch outbound loads, and complete transporter documentation. (Make sure the driver signs the GI)
Receive all inbound stock on Igloo, and ensure what is received on the floor matches the customer’s paperwork.
Ensuring stock that is received is not expired and the stock is in temperature.
Communicate any issues to the customer.Customer Service (Internal and External)Internal Customers.Provide information to your internal Customers (Operations manager, Floor manager, Supervisors, and staff)
Assist Staff members with resolving picking, binning, and stock queries.
Assist Supervisors to meet internal non-negotiables on time.
Maintain good inventory practices (Stock takes, empty bin checks and pick face counts.)
Complete pick face fixes to ensure pick faces balance.
Be transparent with any system moves.External Customers.Provide information to your External Customers (load updates, stock information ext.)
Provide reports as per customer request.
Pull weekly reports for the customers and send them to the customer and accounts for billing.
Assist with the investigation of customer complaints.
Assist in the continuous improvement of customer service.HousekeepingKeep a neat workspace.
Keep the filing up to date. (Do not let paperwork lay all over the place)
Helps management ensure proper sanitary conditions exist in support of Food Safety, and Occupational Health and Safety non-negotiable requirements.SafetySupports Food Safety, Occupational health, and safety.QUALIFICATIONSPreferred level of educationMinimum of Grade 12, tertiary education would be advantageousExperience (the minimum level of direct experience in a similar position)Minimum of 2 years warehousing minimum entry requirement, preferably in a cold store environment.
Inventory and or operations management in a supporting role would be a plus factor.Knowledge/Experience/SkillsSystem Operator requires experience in warehousing and logistics management systems.
Advanced knowledge of Microsoft Office suite (Word, Outlook and Excel)
Understanding warehouse process flows, order capturing and dispatching.
Skills in planning, organizing, controlling, and communicating are required.
The ability to develop effective relationships and provide leadership.
