The successful incumbent will be responsible forLine Manager: Shipping ControllerJob Specification:Key Performance Areas:Perform SAP Stock Transport Order (STO) for NBL and Ciro Sites (also assist with wheat/machinery spares)Ensure the STO process is completed and communicated to sites timeously (NBL & CIRO)Follow up on stock receipts if not done on time (All sites)Upload shipping documents (VAT pack) to STOPerform SAP Stock Transport Order (STO) for over-border road teas (update spreadsheet from suppliers for teas in transit)Ensure customs bill of entries and stamped port health documents are sent to the relevant site per shipmentReconcile 7 & 30-day vendor accountsSupport the accounts payable team with freight and 3rd party invoices for paymentAssist the accounts payable team to close old vendor conditions on SAPAssist the accounts payable team with regular checks on credacc portal to resolve invoice processing/payment queriesVerify and approve Transporters POD’s for payment - Input POD number on the systemArrange booking of port health inspection at Durban Tea factory / Bidvest (storage) / as requiredAssist in registering import files on the system as requiredAssist with Incoterm RegisterMaintain vendor contact details via the prescribed vendor change workflowReconcile National Port Authority & Transporter accountsCompliance with audit and year-end requirements by providing necessary supporting documentation and commentary for relevant sites when requiredVerify intake notes from Bidvest for tea shipments (Container number, batch and quantity) and send approved intake notes to RMS to receive the stock in Bidvest location 1010Follow up on intake note receipt if not done in a day or two by RMSSend out monthly VAT recons to tax department (NBL & 3rd party clearance)Processing of Cargo dues on the Transnet OTC systemArrange financial year-end GIT reports for Road teasSend out weekly forecast every Friday afternoon if required for the following week's payments (MSC / 3rd party clearance as they are 7-day accounts)Arrange clearing instructions when required & input file onto the systemAssist with call off instructions for stock from storage facilities & track / assist until deliveredAssist with processing of forex payments & filing when requiredAssist team with any tracking or reports requiredFiling CIRO STO’sFilling monthly account invoicesFiling of Transporter POD’sFinalizing and closing shipment files as per our filing procedure Minimum Requirements:Experience:1- 3 years’ experience in import and export customs clearance / logistics will be advantageous Qualifications:Matric with Maths is essentialRelevant tertiary qualification in logistics imports and exports will be advantageousAdditional Requirements:MS Office (Word, Excel, Outlook and PowerPoint)SAP is essentialCompetencies:Attentional to detailArticulating InformationWorking under pressureMeeting deadlines
