Track the patient referral on the daily Google sheet and bed list
E-mail doctors to thank them for referral
Update the daily tracker by inserting the patient’s details
AuthorisationsFollow up calls with medical aids for outstanding authorisations and track on daily Google spreadsheet and bed list if not received within timeframe
Track declined medical aid authorisations on the daily tracker Google spreadsheet and send an email to the HCA, Nursing Services Manager and the referring doctor
Once authorisation is received, liaise with the Healthcare Administrator regarding patient admission
Understand the medical aid schemes and what is covered through each scheme with regards to medication and benefits e.g. if the authorisation includes ambulance transfers, external service providers etc.
Medical Aid Relationships/LiaisingRelationship management with key case managers at hospitals and medical aid schemes
Extended Length of StayEnsure that reports are completed daily for patients that require extended stays and send to medical aid for approval
Once approved, update the Daily tracking sheet and save a copy of the approval on the Google team drive in the patient folder
Resident Admission/Discharge Support/CoveragePerform tasks as requested by Senior Administrator
Ensure that admission / discharge documentation is completed accurately
Notify Healthcare Administrator if the contract is not signed prior to admission
Liaise with family/patient to answer all questions prior to admission
Contact family/patient and ensure that payment plan for both medication and medical consumables are in place 1 day prior to admission
Obtain patient payment details for medication and medical consumables prior to admission
Obtain proof of deposit prior to admission
Confirm the number of available beds with the Healthcare Administrator and allocate the patient, with the approval of the Shift Leader and Nursing Services Manager
Printing of documentation for the patient hospital file
Complete the contract with a family member or the patient.
Obtain patient’s banking details for the refund, identity document and medical aid card
Ensure that the admission jotform is completed
Refund jotform to be completed once the patient has been discharged
Advise Healthcare Administrator on discharges for the day to ensure the billing is completed for the patient statementsQualifications:MatricExperience:3 years proven experience as an AdministratorSkills and Attributes:Good computer skills (experience in Google Drive, Sheets and Docs preferable)

Professional communication skills – both verbal and written
