We’ve been featured in Better Homes and Gardens, Brides Magazine, The Knot, Fox 2 News, BizBash, and more.About the RoleAs Lead Coordinator, you will be the first point of contact for 200+ monthly client inquiries across 5 owned venues and 3 affiliate properties. Your role is to ensure every inquiry receives a polished, timely response (target: within 30 minutes), coordinate venue tours, and guide prospects through the sales cycle to signed contracts and deposits.This position requires a career professional with an ownership mentality—someone who thrives in a fast-paced, client-facing environment and can balance responsiveness with precision. You’ll work across multiple CRMs, adapt communication to different client types (wedding couples, corporate clients, professional planners), and ensure seamless handoffs to the events team.Key Responsibilities
- Inquiry Management: Handle 200+ inbound monthly inquiries from email, website, and CRM platforms; maintain <30-minute response time standard.
- Venue Tours: Schedule and coordinate tours across 5 owned venues and 3 affiliates, tailoring the experience to client needs.
- Proposal Development: Gather event details, prepare proposals, and ensure offerings (catering, décor, bar services) reflect brand standards.
- Sales Funnel Management: Track and follow up with leads in CRMs (Everbridal for consumer, Triple Seat for core), moving them toward signed contracts and deposits.
- Client Segmentation: Adapt communication style for wedding clients, corporate accounts, and professional planners.
- Handoff to Events Team: Provide full documentation for booked clients to ensure flawless execution.
- Reporting & Metrics: Maintain accurate CRM records, monitor inquiry-to-booking conversion rates, and report on pipeline health.
- Process Optimization: Identify workflow improvements in lead response, proposal creation, and scheduling; document SOPs for consistency.
- Experience: 4–7 years in a senior coordination, sales support, or client-facing role in hospitality/events/venue management.
- Communication: Outstanding written and spoken English; ability to engage with diverse client types professionally.
- Technical Skills: Proficiency with CRMs ( Nice-to-have: Everbridal, Triple Seat, or similar), MS Office, and digital scheduling tools.
