How about you?Immediate Superior: [[Janke Thorpe]]Location: [[Stellenbosch]]Function: [[Supply Chain]]Sub Function: [[Customer Service & Logistics]]Type of Contract: [[Permanent]]Reference Number: [[106227]]Closing Date: 29/03/2024Purpose of the position:To ensure all import consignments are coordinated and documentation received in a consistent and correct manner to ensure that foreign currency invoices are paid on time and in full and adheres to all regulatory requirements. Monitor and manage all sites involved with imports to ensure timeous goods receipts of import consignments. To ensure that all customs VAT payments and disbursements are processed for payment and supplier invoices submitted to central services on a timely fashion. Key Performance Areas would include, but are not limited to:Identify applicable short interval controls, initiate and monitor corrective actionsEvaluate implementation of import activities and assess possible business impact and escalate as requiredDevelop management financial and governance competencies/capability on import processFacilitate all processes related to abnormal losses in the import environment and facilitate the claims processEnsuring sites do on time and in full goods receipts of imported consignmentsLiaising between clearing agents and sites to clear out any delays in the receiving of imported consignmentsManaging application for Import Certificates from DAFF and ITACEnsuring all clearing instructions to clearing agents are completed in full and signed, ensuring letters of authority are submitted for any specific needsMonitor and escalate non-compliance to Supply Chain ManagementManaging and ensuring the digitization of import shipping and commercial documents on SAP. Ensure that all transport documentation relevant to cross-border movements are uploaded and linked to the system objectsAnalysing clearing costs submitted by clearing agent against shipping conditions linked to contract, following up on unforeseen costs and submit monthly recon to Finance for sign-offResolve issues experienced by clearing agent and receiving sitesCompleting and submitting of foreign supplier invoices ensuring the completeness of payment documentation pack in accordance with SA Treasury requirementsResolve all long outstanding invoices on the statement of accounts of the clearing agentControl policies, procedures and SOP’s in line with good corporate governance principles and practices and adhere to financial policies, procedures and SOP’sMonitor and assist with customs related issues, projects and normal activities from an operational point of viewAddress all issues from foreign suppliers that cannot be resolved by sitesEnsure accuracy of all SAP Master Data relating to import consignmentsAdherence to document storage protocolPrepare and submit relevant reportsUse assets effectivelyManage stakeholder relationships e.g. sites and clearing agents through formalized SLA’s and regular engagement sessionsCompile and maintain a rolling forecast of all anticipated demurrage, storage and detention costs. Engage relevant stakeholders to mitigate/eliminate these costsSupport departmental business planCollate balanced scorecard information for trackingEffectively lead and mange the Imports Team to achieve desired outcomes The successful candidate must have the following qualifications, skills and experience:Tertiary qualification in a relevant field5 years within a supply chain or stock management roleExperience within an FMCG environment would be a distinct advantageMethodical and structured working approach (desire for accuracy being the key driver)Able to make sense of large sets of dataProven problem solving abilities within a fast paced environmentDetail-driven and analyticalCompetent computer literacy and numeracy skills. Experience with SAP operating system will be advantageous.
