- Attend to tenant queries - telephonic & written
- Processing supplier orders & invoices
- Ensuring that all invoices are available for reconciling at month end
- Do rental invoices monthly
- Do all admin reports
- Must know Pastel very well
- Processing payments, invoices, income and receipts and entering data into accounts databases then filing hard copies
- Preparing financial statements showing business income and expenditure
- Paying vendor invoices and tracking bank account balances
- Completing VAT returns
- Verifying the accuracy of business accounts and alerting the Accountant of errors
- Recording any inconsistencies to help the Accountants inaccuracies
- Developing monthly financial statements including cash flow, profits and loss and balance sheets
- Managing employee expense claims
- Helping the Accountant with administrative duties and preparing yearly accounts
- Managing outside work and expenses thereof
- Computer literate i.r.o emails/letters
- Do monthly meter reading of all tenants
- Any tenant queries to be liaised wit maintenance
- Follow-up with maintenance on weekly basis
- Give a weekly report regarding the maintenance and repairs done on all properties
- Assist Auditors with properties Audit
- Attend to Municipal queries
- Print check all Municipal accounts monthly and hand management
- See that all rental contracts are up to date
- Site visits to be done
- All files to be up to date with council plans
- Make sure all properties have working meters for water & electricity
- Phone / emails tenants in arrears with rent
- Handle all property insurance claims
- Do buying of materials related to properties
- Work with Metering on Line (PMT)
- Do Quotations and orders
- Ensure that safety files are done and kept up to date
- Market vacant properties and speak to Agents
- Any other hoc duties given by Management
