
Bookkeeper with Administration Experience - International Accounting Firm - Mossel Bay Area (Western Cape)

- Administrative Support & Process Management:
- Manage and navigate software applications, including Microsoft 365 (SharePoint, Teams, Word, Excel, PowerPoint), Karbon, and other relevant tools.
- Ensure proper organization and storage of all documents and files according to established processes.
- Research, implement, and train the team on new software features or tools to enhance productivity.
- Monitor adherence to internal processes, identify inefficiencies, and propose actionable improvements.
- Conduct routine audits of systems and processes to ensure accuracy and efficiency.
- Manage repetitive tasks, such as proofreading and formatting, with consistency, patience, and attention to detail.
- Preparing reports.
- Scheduling meetings and managing calendars.
- Ad hoc duties as required.
- Bookkeeping & Accounting Support:
- Bookkeeping up to trial balance.
- Provide accounting and clerical support to the accounting department.
- Assist with reconciliations.
- Payroll preparation.
- Statutory reporting.
- Assist with Debtors, Creditors, and Invoices
- Requesting and gathering financial documents.
- Updating and maintaining financial records, including existing client records.
- Sorting and filing of financial records.
- Data capture and data collection.
- Correspond with clients regarding their accounts, balances, and payments.
- Client Liaison & Communication:
- Liaising with clients.
- Client service delivery and query resolution.
- Oversee the onboarding of new clients.
- Work closely with accountants and team members to coordinate administrative tasks and meet deadlines.
- Provide clear communication, updates, and insights to ensure tasks and goals are aligned.
- Matric with solid results.
- Diploma, degree, or certificate in finance or a related field (will be advantageous).
- Bookkeeping or accounting experience.
- 2+ years of administration experience in an accounting, law, or corporate environment.
- Working experience on accounting software such as Xero, Sage, Pastel.
- Microsoft Office – Excel, Word, Outlook proficiency preferred.
- Good communication and interpersonal skills.
- Must be able to work under pressure.
