About the role
The Administrator is responsible for ensuring the smooth and efficient running of day-to-day office operations. This role supports management, staff, and stakeholders by handling administrative duties, coordinating office processes, and maintaining accurate records to enhance organizational efficiency.Key Responsibilities
  • Manage office correspondence (emails, calls, letters, and packages).
  • Maintain filing systems (electronic and physical) for easy retrieval of records.
  • Order and manage office supplies and equipment.
  • Ensure compliance with company policies and procedures.
  • Financial & Reporting Support
  • Assist with basic bookkeeping (invoices, purchase orders, petty cash).
  • Support preparation of financial reports, budgets, and expense tracking.
  • Maintain accurate databases and update records regularly.
  • Human Resources & Staff Support
Financial & Reporting Support
  • Assist with basic bookkeeping (invoices, purchase orders, petty cash).
  • Support preparation of financial reports, budgets, and expense tracking.
  • Maintain accurate databases and update records regularly.
Human Resources & Staff Support
  • Support HR in maintaining employee records and attendance registers.
  • Coordinate staff training sessions, workshops, and meetings.
  • Assist with onboarding of new employees.
Meetings & Communication
  • Schedule, coordinate, and prepare materials for meetings.
  • Take minutes and distribute them to relevant stakeholders.
  • Liaise with internal and external stakeholders professionally.
Project & Programme Support
  • Assist project managers with administrative tasks.
  • Track deadlines and follow up on outstanding tasks.
  • Support reporting for funders, clients, or partners where applicable.
Skills & Competencies
  • Strong organizational and time-management skills.
  • Excellent communication (verbal & written).
  • Computer literacy (MS Office Suite, Google Workspace, or equivalent).
  • Ability to multitask and prioritize effectively.
  • Attention to detail and accuracy.
  • Problem-solving and proactive work ethic.
Qualifications & Experience
  • South African Unemployed youth between the ages of 18 and 34.
  • Must not have participated on the YES programme before.
  • Matric
  • Diploma or Degree in Administration, Business Management.
  • At least 1-3 years' experience in an administrative role.
  • Knowledge of bookkeeping and HR processes is advantageous.
  • Experience working in [industry/sector] will be beneficial.
