Key Responsibilities: * Calendar Management: Efficiently manage the VP's calendar, scheduling meetings, appointments, and travel arrangements while ensuring optimal time management.
- Communication: Act as the primary point of contact between the VP and internal/external stakeholders, demonstrating excellent written and verbal communication skills.
- Information Handling: Manage sensitive information with the utmost confidentiality, including reviewing and prioritizing incoming correspondence and emails.
- Meeting Preparation: Coordinate and prepare materials for meetings, conferences, and presentations, ensuring the VP is well-prepared and briefed.
- Travel Coordination: Arrange travel itineraries, accommodations, and logistics for the VP's business trips, optimizing travel efficiency.
- Expense Management: Monitor and reconcile expense reports, ensuring accuracy and compliance with company policies.
- Project Support: Assist in special projects, research, and data analysis, contributing to the VP's decision-making process. This would require expert skills in PowerPoint and all Microsoft Office Suite tools.
- Event Coordination: Organize and coordinate internal and external events, conferences, and workshops as required.
- Team Collaboration: Collaborate effectively with other departments and executive assistants to streamline operations and support cross-functional initiatives.
- Reminder & Follow-Up System: Develop and maintain an effective reminder system for crucial tasks, appointments, and deadlines. Actively follow up on pending actions, ensuring nothing slips through the cracks.
- Executive Support: The successful candidate will be required to keep up with the dynamic schedule.
- Bachelor's degree in Business Administration or a related field preferred.
- The successful candidate will need to be technically savvy – this is of utmost importance due to the nature of work and initiatives implemented by the VP.
- Proven experience as an Executive Assistant or similar role supporting C-suite executives.
- Exceptional organizational and multitasking abilities.
- Ability to adapt to the VP’s changing schedule – The successful candidate would need to be willing to work shifts dependent on the location of the VP at the time.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Innovative thinking with a high attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain discretion and handle confidential information.
- Outstanding time management and problem-solving skills.
