Job Summary Data Capturer (Shopify) Remote - South Africa Description: We are the Hampton Chocolate Factory - a fast-growing premium brand known for creating one-of-a-kind gifting experiences. We're looking for an Administrative & Order Entry Assistant to help us keep things running smoothly behind the scenes. This role is perfect for someone who loves being organized, thrives on checking things off a list, and wants to grow into an administrative professional role over time. Position Overview: The Administrative & Order Entry Assistant plays a key role in ensuring accurate and timely processing of customer orders. This position is primarily responsible for entering orders into Shopify, coordinating with print vendors, and providing general administrative support to keep our operations running smoothly. Key Responsibilities: • Accurately enter customer orders and updates into Shopify and other internal systems. • Review order details to ensure all information is complete and correct prior to processing. • Coordinate with print vendors to submit orders, confirm production timelines, and track fulfillment status. • Maintain clear records of order confirmations, shipping details, and vendor communications. • Assist in resolving order-related issues, such as delays, discrepancies, or special requests. • Support the team with miscellaneous administrative tasks and mini projects as needed (e.g., data entry, preparing reports, organizing digital files). • Provide responsive internal support to ensure order flow stays on schedule. Skills and Qualifications: • Prior experience with order entry, data entry, or e-commerce platforms (Shopify experience strongly preferred). • Strong attention to detail and high accuracy in data handling. • Ability to manage multiple tasks and prioritize workload effectively. • Excellent communication skills for working with vendors and internal teams. • Comfortable using technology, including spreadsheets, cloud storage, and collaboration tools. • Proactive and flexible mindset to jump in where needed and adapt to shifting priorities. Work Environment & Requirements: • This position is a fully remote role for a US-based company. • This is a support role that interfaces closely with sales, production, and operations. • Occasional extended hours during peak seasons may be required to ensure timely order processing. • Should own a functioning laptop with minimum specs of at least Core i5, 11th Gen and 8GB of RAM. • Should own a functioning phone. • Stable internet connection is required, preferably nothing below 10mb speed. • Should be able to work through load shedding, own UPS would be preferrable.
