Job Description :Our client is a distinguished wine business devoted to sourcing and supplying the finest wines the world has to offer, from rare vintages to hidden gems. Offering beyond wine sales, including corporate wine and accessory gifts, private tastings, home cellar consultations, appraisals, and curation services. They're seeking an experienced full-time, Stock Administrator, to play a pivotal role in ensuring the smooth and accurate flow of inventory within the business. This individual will be responsible for the full administrative control of stock receiving, dispatching, and internal recording. Accuracy, organisation, and communication are essential qualities for success in this position.Key Responsibilities:Direct Duties:
  • Respond to daily phone calls and e-mails, assisting customers with queries
  • Process daily online and in-store Direct-to-Consumer (DTC) orders, overseeing packing and dispatch
  • Update pricing and promotional discounts weekly in the POS system
  • Issue daily supplier Purchase Orders (POs) in line with re-order requirements and within budget
  • Track PO delivery status and liaise with suppliers accordingly
  • Verify all incoming deliveries against POs and delivery notes
  • Capture Goods Received Vouchers (GRVs) daily into the business stock accounts
  • Perform daily cash register cash-ups and reconcile cash float
  • Maintain petty cash control and update petty cash reports daily
  • Prepare supplier payment reports and capture supplier payments in the system
  • Follow up on customer payments and update accounts accordingly
  • Prepare and submit monthly reports to the accounts team
  • Purchase general supplies and stationery weekly, as needed
  • Prepare and print shelf pricing and promotional signage for in-store use
  • Conduct stock counts of consignment inventory as requested by suppliers
  • Monitor inventory levels and report over & understock issues to the General Manager
Indirect duties:
  • Operate front-of-house POS during peak periods or staff shortages
  • Support customer service and wine tastings during events and promotions
  • Assist with sales and customer-facing activities as needed
Requirements
  • 3 - 5 years experience in stock and inventory management.
  • Minimum Grade 12, any relevant tertiary level qualification would be advantageous.
  • Industry experience would be preferred.
  • Fully bilingual in English and Afrikaans.
  • Proficient in MS Office and stock and inventory systems, such as Odyssey POS or similar POS system.
  • Reside in the Helderberg area.
Benefits
  • This is a permanent, hybrid (minimum of 3 days on-site) position based in Somerset West, Cape Town.
  • Core working hours 09:00 - 17:00, Monday to Friday.
