- Develop and implement administrative policies, procedures, and best practices to streamline workflows and improve efficiency.
- Implement and maintain administrative systems and technologies to support efficient operations and information management.
- Manage office facilities and resources, including space planning, equipment maintenance, and supplies inventory.
- Ensure compliance with company policies and regulatory requirements in all administrative activities.
- Manage expenses and financial records for administrative operations, ensuring cost effectiveness and accountability.
- Coordinate and prioritise administrative tasks and projects, ensuring timely completion and delivery of services.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
- Handle confidential and sensitive information with discretion and integrity, always maintaining confidentiality and privacy.
- Provide training, coaching and mentoring to DC administrators regarding performance management, employee development and change management.
- Foster a positive and productive work environment within the DC administrative team, promoting teamwork, communication, and professional development.
- Collaborate with other departments to support cross-functional initiatives and projects that require administrative assistance.
- Stay updated on industry trends, best practices, and emerging technologies in administrative management.
- Manage schedules and deadlines for all DC admin related activities.
- Provide excellent customer service by attending to customer and distributor inquiries, both locally and internationally.
- Manage key accounts, including handling customer complaints and resolving issues promptly.
- Ensure that customer and distributor contracts are up-to-date and revised as needed.
- Identify and mitigate risks associated with administrative processes, including operational, legal and financial risks.
- Ensure that all administrative operations adhere to relevant legal and regulatory requirements, including data protection, and workplace safety regulations.
- Develop and implement policies to manage and safeguard company assets, including confidential information and physical resources.
- Conduct regular audits and reviews of administrative processes to ensure compliance and identify areas for improvement.
- BCom degree in Logistics, or Diploma in Supply Chain Management / Logistics.
- At least 6 years experience in an administrative role with at least 2-5 years in a managerial position.
- Above average competence in MS Office, specifically in MS Excel.
- Excellent communication and collaboration skills, with the ability to influence and build strong relationships with internal and external parties.
