Key Responsibilities

KPA 1: Managing reception/ front desk

Represents the image of Langverwag and its management with clients (internal and external), suppliers and other entities
Answer incoming calls within 3 rings
Distribute messages within 20 minutes of receipt
Acknowledge and welcome visitors immediately and direct them to the correct person or department
Control the opening of all gates and front door to ensure no unauthorized entries
Ensure that all visitors and incoming calls are handled professionally
Screen and direct calls to the relevant department
Provide information and deal with queries regarding Langverwag and care to potential new residents in the absence of the Manager.
Receive all parcels delivered to the front door and see that it is being handed to the correct department or resident.
Perform duties in an efficient, professional and courteous manner
Maintain regular, consistent and professional attendance, punctuality and personal appearance
Work in rotation with the enrolled nursing assistant regarding reception duties

KPA 2: Admin assistance

General administrative and clerical support to the Home Manager, Health Manager and Food Service Manager
Distribute authorized documentation free from errors and in a professional format
Meet deadlines as communicated by home management and/ or GERATEC management
Receive and sort mails/ communicate to relevant person for implementation
Filing (when necessary)
Maintain regular contact with residents and provide assistance where needed
Receive all complaints from residents regarding maintenance work in the flats
Contact contractors as needed and as directed by management
Assist management with the general maintenance control of the grounds, building and equipment
Be the contact person between Langverwag, the garden services and the gardener or any other contractors
Take responsibility to do banking when requested by management
Collect post when required by management
Organise events and functions for the residents in collaboration with the Management and Residents committee
Assist with emergency evacuation planning, exercises and resident awareness
Report incidents which occurred on duty, regarding residents, the building and equipment as soon as possible to management
Collate and send out monthly birthday lists (residents and employees)
Assist other departments as and when required (as directed by management)
Establish and maintain effective working relationships
Act as a stand in for the manager and enrolled nursing assistant when on annual or sick leave, as and when required or necessary

KPA 3: Training and development

Excellent computer knowledge to maximise performance effectiveness
Be able to operate a variety of standard equipment
The employee is interested in training and personal development
Update Development log book
Abiding by the company's rules always
Attend all applicable training sessions
Conducts on the job training with employees (new and existing) as and when needed
Assist with ad-hoc tasks as and when needed
