REPORTING TO THE SALES ADMINSITRATION MANAGER JOB PURPOSE: To support the Drawing Office with data capturing and to ensure archiving according to company's standards. Providing the costing of products for all outgoing quotes and tenders and managing the cost data of products on the ERP system. JOB FUNCTIONS DATA CAPTURING: Raise orders for Engineering and Planning on JDE (if required). Update and maintain standard costing of JDE items and outside operations on JDE as per latest standard rates supplied. Create/correct and maintain item numbers on JDE item master when required. Create/correct and maintain JDE kit item/ETO BOMs. Create/correct and maintain JDE item routings BOMs. Create/correct and maintain item master conversions. (Unit of Measure). Cost roll up on all JDE components and kit items (if required). Create/correct sales orders as and when required. Generate/maintain works orders for planning as and when required DRAWING OFFICE SUPPORT: Check and update drawing naming and numbering on a daily basis to ETO standards. Ensure that all drawing files are saved in the correct location on DM. Ensure that all parts list issued to jobs are updated by the draughts person. Ensure that DM Standard Drawings Folder contains the latest updated revisions of drawings available. All drawings comply with Drawing Office standards. Forward new designs/DDC jobs files from sales to drawing office for lead times. GENERAL ADMINISTRATION: Attend to all general PDMA related enquiries. Coordinate handovers with planning and/or sales department. Submit PDMA reports by due date. PROJECT SUPPORT (IF REQUIRED): Verify project number against project list. Verifying all drawings are approved within the WIP process flow. Verify project files are stored under the project number on the backup server. Released drawings inside Vault are forwarded for manufacturing purposes COSTING MANAGEMENT: Database of costs for various types of raw materials is maintained by benchmarking costs of items to industry standard and updating these costs on the database to enable estimation of costs for tender purposes to be within 5% of actual costs if order is received. Manufacturing methods/times and material costs are estimated using the relevant database and sent to sales personnel to be included in the tender before the tender deadline closes. Costs are simulated and frozen on the ERP system after setting up a new item or when an item changes in order to maintain accurate costs on the system. Time study is conducted when an item is sold to check the estimated against the actual material costs and actual labour times. Variance analysis is conducted when a variance is reported by a relevant stakeholder. CUSTOMER SATISFACTION: Accurate prices are submitted on time to Proposals department. Liaise with Procurement on supplier and cost issues. Liaise with PDM on item, Bill of Material and routing issues. Liaise with relevant departments (sales and production) on costing and sales order issues. Assist in the creation and maintenance of training documents and safe works procedures for the factories when necessary. PRODUCT DATA MANAGEMENT: Bill of Material is checked & updated on JDE using the information obtained from drawings to facilitate the manufacture of an item. Routing is set up after the creation of the Bill of Material. Calculation spreadsheets are updated when new or improved manufacturing processes are established. REPORT GENERATION: Reports are run as per departmental procedure. Reports are updated when necessary. Costing reports are set up and sent to managers for approval as per departmental procedure.
QUALIFICATION: Grade 12 REQUIREMENTS AND COMPETENCIES: At least 3 years relevant experience in a similar environment with relevant PDA and estimating/costing experience in a technical environment. Must be able to read and interpret technical drawings Experience in the use of the relevant software used by the company would be advantageous: JD Edwards OnBase AutoDesk Inventor Vault Must display a good understanding of MS Office Suite.
