Job Description :The Procurement & Logistics Supervisor has the responsibility to manage national stock levels of consumable, capital equipment, life sciences products, raw material and warehouse consumables including
  • placing stock purchases for all required products from suppliers,
  • ensuring that purchased items are both cost-efficient and of high quality.
  • managing relationships with freight forwarders & couriers to ensure that products are handled and transported appropriately
  • ensuring that goods are stored appropriately and warehouse staff are trained on how to store, handle & transport all products/raw material
The responsibilities include evaluating suppliers (including couriers & freight forwarders), ensuring product quality & safety is maintained, preparing reports and creating/maintain good relationships with key suppliers.Management of Freight Forwarding/Clearing Agent process such as shipment, booking space, preparing bills of loading, customs declarations, etc. and arranges the proper customs clearance to meet specific regulations, with proper tariff codes for all import/export materials.Oversees and supervises staff and all activities of the CE warehouse.Acts as information point for customer services staff.Work closely with the Finance, Product Management, Warehouse, Raw Material Stores, Production, Customer Services Department and Quality Administration.The company operates in the Medical Devices and Printing & Packaging industries.Purchasing and Imports:
  • Reviewing stock balances, sales trends and other information on a monthly basis to determine supplier orders;
  • Liaising with Customer Services to determine lead times for products for customer orders/quotes;
  • Placing orders with approved suppliers (local consumables, imported consumables, raw materials, Capital Equipment & Life Sciences);
  • Managing the Freight Forwarders / Clearing Agents process;
  • Manage lead times with suppliers & freight forwarders/clearing agents;
  • Manage the receipt of and review import paperwork;
  • Notify receiving teams of incoming goods and provide paperwork for checking of goods when received;
  • Ensure correct tariffs and headings are used;
  • Check inputs, duties, tariffs and charges;
  • Perform costing of goods including calculating landed cost;
  • Receive and review Certificates of Conformance for all products purchased from suppliers;
  • Complete new product request form for all new products;
Distribution, Logistics and Exports:
  • Managing the Freight Forwarders / Clearing Agents process (Imports & Exports);
  • Manage lead times with freight forwarders/clearing agents;
  • Ensuring customers are kept up-to-date for all deliveries
  • Manage the booking and review paperwork for exports;
  • Ensure correct tariffs and headings are used;
Suppliers:
  • Obtain quotes for new products/services from approved suppliers;
  • Performing Supplier Assessments along with the Product Manager in accordance with the Supplier Assessment process;
  • Performing the New Supplier Acceptance process;
  • Maintain supplier information, including approved suppliers list, suppliers’ certifications, product certifications, product safety data sheets, product technical data sheets;
  • Participate in price negotiations;
Stock Control:
  • Developing, monitoring and maintaining minimum re-order levels for stock;
  • To maintain branch stock levels to ensure that customer service & production commitments are met;
  • To analyse and advise on facilities and resource requirements to ensure cost-effective warehousing for existing and projected requirements;
  • To maintain relevant product, stock and warehouse information in various Macola modules;
  • Proactively report any stock concerns to Senior Management;
  • In conjunction with Product Managers, monitor slow moving stock and develop plans to sell this stock
  • On a weekly basis, monitor stock with short expiry dates, circulate a report to relevant stakeholders and in conjunction with the Product Managers & Procurement Officer develop plans to ensure stock is sold before expiry;
  • On a weekly basis, analyse stock on hand to identify any capturing errors;
  • Ensure that products / raw material/consumables are all stored appropriately and that warehouse staff are trained on storage, handling and transport requirements for all products.;
  • Weekly completion and circulation of branch backorder reports;
Health & Safety:
  • Maintain the health and safety principles of the organization;
  • Maintain Accurate Records (e.g. Safety Data Sheets) for products, including liaising with Health & Safety Officer to ensure that necessary procedures are in place for the handling, storage and transport of all goods;
Quality:
  • Ensure that product quality and safety is maintained throughout purchasing cycle;
  • Ensure that supplier Quality paperwork is up to date at all times;
  • Maintain B-BBEE procurement paperwork for all suppliers
  • Performing Supplier Assessments along with the Product Manager in accordance with the Supplier Assessment process;
  • Updating Procurement related QMS documents and ensuring appropriate document control is practiced throughout the
  • organisation for these documents;
  • Work with Quality Admin Officer and Product Manager to update and maintain the Medical Devices register;
  • Work with Quality Admin Officer and Product Manager to provide input into the Medical Devices Product Registration process;
  • Work with the Product Manager / New Business Development Manager to perform risk assessments on products and suppliers;
  • Work with the Product Manager to manage product & supplier complaints;
  • Documentation of NCAs and ARs where relevant;
